Privacy policy
How CTS LLC handles information when you browse ctstravel.ge, contact us or request a corporate travel proposal.
Last updated: 23 October 2026 · Effective when the website launches
1. Who is responsible
CTS LLC, identification number 202195061, is the controller of personal data processed for this website and its inquiries. Registered address: 36 Aghmashenebli Avenue, Tbilisi, Georgia. CTS operates remotely and coordinates client communications by email and telephone. Our meeting location at 22 Peritsvaleba Street, Tbilisi, is available by prior appointment; please contact us to arrange a visit. This policy concerns CTS’s website and inquiry process. Network membership does not by itself make CWT or Amex GBT the controller of your inquiry.
Privacy questions and rights requests are handled by CTS management through reservations@mycwt.ge. Telephone: +99532 2999 333.
2. Information you provide
An RFQ includes the company name; the contact person’s name, role, work email and telephone; selected services; estimated annual volumes and expenditure; preferred payment terms; and any additional requirements. Company identification or tax number, website and event-participant estimates are optional. A submitted record also includes its reference, receipt time, language, document snapshot, relevant form versions and privacy-notice acknowledgment.
Fields marked as required are needed to prepare and submit the inquiry. Where available, you can choose “Not sure” for estimates. If required information is missing, the form cannot be submitted; you may instead contact CTS directly.
Do not include passport copies, identity-document numbers, payment-card information, health information or other unnecessary sensitive traveler data. If you supply another person’s information, make sure you are entitled to do so and give them this policy. Ordinary email correspondence is also processed when you contact CTS.
3. Drafts, submission and review
Before submission, RFQ answers remain in the current page’s memory. Preparing, editing or previewing the document does not send those answers to CTS. Refreshing or leaving the page discards the draft. Switching between the form’s English and Georgian versions can preserve the answers while the page remains open. Printing creates a copy under your control; handle it appropriately.
Choosing “Submit RFQ” sends the completed inquiry to CTS when the form is available. A successful receipt means the inquiry has been saved for review; it does not guarantee that an email notification has already reached staff. The website displays a reference and confirms that a CTS representative will contact you as soon as possible. This is not a fixed response-time guarantee.
The inquiry is stored in the website’s inquiry database and its notification is queued for the designated CTS RFQ mailbox. An inquiry does not create a booking, customer account, approved credit arrangement or automatic Gafrino access.
4. Why information is used
CTS uses inquiry information to understand business travel needs, clarify estimates, prepare a proposal, communicate with the contact person and keep an accurate record of the request. Technical information is used to operate the website, prevent abusive submissions and investigate failures. This RFQ does not subscribe you to marketing.
The legal basis for handling an inquiry from a company representative is CTS’s legitimate interest in responding to business requests, limited to necessary professional contact and inquiry information and balanced against the individual’s rights. Where an individual requests steps towards their own contract, the basis is taking those requested pre-contract steps. Necessary security processing relies on legitimate interests in protecting the service; processing required by law relies on the relevant legal obligation. Where consent is needed for a separate purpose, CTS will explain that purpose and how to withdraw consent. Acknowledging this notice is not consent to unrelated processing.
5. Website and technical information
Your browser sends technical information needed to deliver pages, including a network address and request headers. The application temporarily uses information derived from the connecting network address to limit repeated submissions, separately from the RFQ record. Render hosts the website in Frankfurt, Germany; Resend delivers transactional email and Tulix provides company mailboxes. Providers also process service and security logs under their applicable service arrangements.
CTS does not add its own analytics trackers, advertising tags, session replay or recordings of RFQ form-field activity. Fonts and the network map are served with the website. The embedded flight board is a third-party service with separate privacy practices.
The homepage flight board is supplied by flightradar.live. Loading it connects your browser to that provider, which receives technical information such as your IP address and browser details and may use its own cookies or related technologies. Its privacy policy is available at https://flightradar.live/datenschutzerklaerung/. The embedded board is isolated from the CTS page and CTS does not send RFQ answers to it. You can block third-party content through your browser; the rest of the website remains available if the board cannot load.
6. Language cookie
The website sets a first-party cookie named cts_locale with the value en or ka to remember the page language. Its configured lifetime is up to one year and it may be refreshed when you visit. It contains no RFQ answers and is not used for advertising.
You can clear or block cookies through your browser. Clearing the language cookie removes the saved preference; a later visit may set it again. The site can still display a language version when the preference is unavailable. Any future nonessential tracking requires a separate review and an updated notice before it is introduced.
7. Access, service providers and transfers
Designated providers are Render for website hosting and Resend for RFQ email delivery and Tulix for company mailboxes. Inquiry information may be accessed by CTS staff responsible for responding and by providers needed for hosting, email delivery, maintenance and backups, limited to their assigned work. An RFQ is not automatically distributed to all CWT partners, airlines, hotels or Gafrino users. Any later sharing for service assessment or delivery needs a defined purpose and appropriate basis.
Website hosting is in Germany. Email and service-support processing may take place outside Georgia, including in the United States and other countries used by the selected providers. Naming a provider does not mean that all processing stays in one country. CTS limits disclosures to the service purpose and uses applicable contractual and legal safeguards for international transfers. You can request information about the safeguards relevant to your inquiry through the privacy contact above. Disclosure to authorities may occur where required by law, and relevant information may be used to establish or defend a claim. CTS does not sell inquiry data.
8. How long information is kept
RFQ records, associated notification-queue records and related inquiry emails are normally kept for 12 calendar months from receipt. CTS management reviews expired records at least monthly and arranges deletion or irreversible anonymization within 30 days after expiry, including working copies and relevant inquiry-email folders. This is CTS’s inquiry-retention policy, not a universal statutory deadline.
If an inquiry is still active, becomes part of an ongoing customer relationship, or is necessary for a legal obligation or claim, CTS retains only the information needed for that purpose, records the reason and next review date, and reviews continuing exceptions monthly. A valid erasure request may require earlier deletion. Booking, contract, tax and accounting records follow their separately applicable requirements.
CTS creates a database-consistent backup at service startup and every 24 hours while the service is running. Verified CTS-managed database backups use a rolling 30-day retention period and restricted access. Render also provides encrypted daily disk snapshots available for seven days; these are separate from the database backups. Resend states that it stores email and log data in the United States for 30 days on its standard plans. Tulix mailbox recovery copies and other provider-managed technical records follow the relevant provider arrangements, which can differ from live inquiry retention. Restricted recovery copies are not used for ordinary inquiry handling. Required deletions must be reapplied before normal use of a restored backup; contact CTS for arrangements relevant to your request.
The retention review is managed by CTS management rather than an automatic purge scheduler. CTS keeps a minimal record of deletion actions and justified exceptions without retaining unnecessary inquiry content.
9. Security
The application validates submissions, limits repeated requests, restricts staff inquiry access and separates it from the public form. CTS uses HTTPS hosting and keeps delivery credentials on the server. Access to inquiry storage and mailboxes is limited to authorized personnel and service providers as necessary for their work. No website or email system can guarantee absolute security.
Contact reservations@mycwt.ge if you believe information was sent incorrectly or accessed without authorization. Provide enough detail to investigate without sending unnecessary identity documents or other sensitive data.
10. Your rights and complaints
Subject to applicable conditions and exceptions, you may request information and access, correction, deletion or restriction, and portability where available; withdraw consent where processing relies on it; object to processing based on legitimate interests where applicable; and challenge relevant automated decisions. This website does not automatically approve credit or make automated decisions about access to travel services.
Contact reservations@mycwt.ge. CTS may request proportionate identity verification and will respond within the applicable legal period, explaining any lawful restriction. You may also complain to the State Audit Office of Georgia or apply to a competent court; contacting CTS first is not a condition of that right.
11. Updates and related services
This version is prepared for the launch of ctstravel.ge and takes effect when the website is made publicly available. Last updated: 23 October 2026. Material changes will be reflected here before the changed processing begins. This inquiry policy does not replace notices and agreements for an actual booking, traveler profile, employment relationship or separate Gafrino service.
